How it works

Bills, card swipes and receipts pile up in inboxes, trucks and gloveboxes. Most never reach a job. Here is how every one gets there.

  1. 1

    Everything comes to one address

Vendors, suppliers and your crews send bills and receipts to one mailbox we watch. Nothing waits in a glovebox.

  2. 2

We read and check each one

Duplicate bills, reprints, statements and already-paid notices are caught before anyone pays twice.

  3. 3

    Your project managers code it

Each cost goes to the project manager on that job, who codes it in a few taps. We follow up until every one is done.

  4. 4

    You see what is profitable

Every month, a job-by-job report: what each job cost, what it earned, and what is still unplaced.

Underneath it allYour books, kept weekly and reconciled to every account, so the job numbers tie to the bank.

Monthly fees

Flat by the month, never by the hour. Both plans code every cost to its job, every week. The difference is how often you get the job-by-job profit report: once a month with the close, or every Monday.

How many bills come in each week?

Each cost counts once: a bill, or a card swipe with its receipt. Statements, reprints and duplicates don’t count.

Not sure? Pick your best guess; we check it in the free true cost check. Reviewed each quarter against your real volume. Never charged per bill, so send us everything.

Questions

What does “true cost” mean?

Every dollar a job actually took, on the job that spent it: materials, subs, labor, fees. Not buried in overhead and not left uncoded.

What do I need to send for the true cost check?

A QuickBooks Online connection, or an export of the last twelve months. We build the snapshot from that.

Can you move money out of my accounts?

No. We record, flag and report. You approve and pay every bill, and we never hold access to send money.

Where does my data go?

Your documents are stored with services hosted in the United States and seen only by our team. You own your books, your documents and your job history, and they go with you if you ever leave.

Do you work with Buildertrend?

Yes. We set it up to agree with QuickBooks, then match bills, purchase orders, invoices and change orders job by job every month.

When do I get my books each month?

By the 15th, or three business days after month end with the 72-hour close. If answers to our weekly question list come in late, the file still ships on time with those items marked open.

Do you do payroll or tax returns?

No. We keep the books and the job costs. Your payroll provider and tax preparer get clean, closed books to work from.
